Functional Requirement |
Key Responsibilities Manage day-to-day spare parts operations and ensure smooth availability of parts. Identify spare parts requirements based on workshop, dealer, and customer demand. Maintain accurate records of spare parts stock, receipts, issues, transfers, and returns. Monitor stock levels and prepare replenishment requirements to avoid stock-outs. Coordinate with the Parts Manager and procurement team for ordering required spare parts. Receive incoming spare parts and verify quantity, part numbers, and condition against purchase documents. Ensure proper storage, binning, labeling, and organization of spare parts. Issue parts to the workshop against approved requests/job cards and maintain proper documentation. Support spare parts sales to dealers, retail customers, and other authorized channels. Coordinate with service/workshop teams to understand urgent and fast-moving parts requirements. Monitor fast-moving, slow-moving, and non-moving spare parts. Conduct regular physical stock checks and support periodic stock audits. Investigate and report stock discrepancies, shortages, damages, and excess inventory. Maintain proper records in the ERP/DMS or inventory management system. Ensure proper handling of warranty-related spare parts and returns, where applicable. Coordinate with logistics and warehouse teams for timely movement of spare parts between locations. Support preparation of daily, weekly, and monthly spare parts reports. Maintain good working relationships with dealers, workshops, suppliers, and internal departments. Ensure compliance with company policies and procedures related to inventory and spare parts operations. Key Performance Indicators (KPIs) Spare parts availability and reduction of stock-outs. Inventory accuracy and stock variance. Parts order fulfillment and turnaround time. Reduction of slow-moving and obsolete inventory. Accuracy of parts receiving and issuing. Workshop and dealer satisfaction. Timely submission of stock and sales reports. Proper documentation and inventory control.
