HR, Admin & Payroll Executive

Job Purpose
To manage day-to-day HR, payroll, and administrative activities, ensuring
accurate employee records, timely payroll processing, compliance with
company policies and applicable labor requirements, and smooth
administration of office/plant operations.
Key Responsibilities
1. Human Resources
-
Manage employee recruitment, selection, onboarding, and joining
formalities.
-
Prepare employment contracts, appointment letters, confirmation letters,
and other HR documents.
-
Maintain accurate and updated employee personnel files and records.
-
Monitor employee attendance, leave, absenteeism, and staff movements.
-
Handle employee grievances, disciplinary matters, and general HR-related
issues.
-
Coordinate performance reviews, confirmations, transfers, promotions, and
resignations.
-
Ensure proper implementation of company HR policies and procedures.
-
Coordinate work permits, visas, residence permits, and other employee
documentation, where applicable.
2. Payroll
-
Prepare and process monthly payroll accurately and on time.
-
Verify attendance, overtime, allowances, deductions, advances, and other
payroll adjustments.
-
Maintain payroll records and prepare payroll reports for management
approval.
-
Coordinate with the Finance Department regarding salary payments and
payroll-related matters.
-
Ensure accurate calculation of statutory deductions and other employee
deductions.
-
Maintain strict confidentiality of salary and employee information.
-
Respond to employee payroll and salary-related queries.
3. Administration
-
Manage day-to-day administrative activities for the office/plant.
-
Coordinate employee accommodation, transportation, travel, and related
arrangements.

Maintain company records, licenses, contracts, and administrative
documents.
-
Coordinate office supplies, stationery, uniforms, and other administrative
requirements.
-
Liaise with service providers, contractors, security companies, and other
external parties.
-
Support facilities, housekeeping, security, and general maintenance
activities.
-
Assist management with administrative reports and special assignments.
4. Employee Welfare & Compliance
-
Coordinate employee medical, welfare, insurance, and other benefits.
-
Monitor compliance with company policies and applicable labor
requirements.

Maintain proper documentation relating to employee benefits and welfare
programs.

Support HR initiatives aimed at improving employee engagement, discipline,
and workplace relations.
5. Reporting
-
Prepare monthly HR and payroll reports.
-
Provide management with reports on headcount, attendance, overtime, leave,
payroll costs, and employee movements.
-
Maintain accurate HR and payroll databases and records.
Key Skills & Qualifications
-
Bachelor's degree/Diploma in Human Resources, Business Administration,
Accounting, or a related field.
-
5–7 years of relevant experience in HR, payroll, and administration.
-
Previous experience working in Africa or an international environment will
be an added advantage.

Good knowledge of payroll processing and employee records management.
-
Strong knowledge of MS Excel and HR/payroll systems.
-
Good communication and interpersonal skills.

High level of confidentiality, accuracy, and attention to detail.

Ability to work independently and meet deadlines.

Strong organizational and problem-solving skills.
