Job Description: Executive Assistant
Location: Maputo, Mozambique
Reporting To: Head – CEO
Organization: Karan Group
Job Summary:
We are seeking a highly organized, proactive, and detail-oriented Executive
Assistant to the CEO who will
act as a central coordination point between the CEO, front office, and
back-office teams. The role is
designed to ensure smooth information flow, timely follow-ups, and effective
execution of tasks so that
the CEO can focus on strategic and business-critical priorities. The ideal
candidate should have a strong
financial background, excellent analytical abilities, and exceptional
coordination and follow-up skills.
Key Responsibilities:
• Act as the primary liaison between the CEO and internal departments
(Finance, HR,
Operations, Sales, Admin).
• Coordinate all front-office and back-office activities on behalf of the CEO,
ensuring
minimal direct involvement from the CEO.
• Track action points from meetings, emails, and discussions; ensure timely
follow-ups and
closures.
• Prepare MIS reports, dashboards, and summaries for management review.
• Assist in financial analysis, budgeting support, expense tracking, and
performance
reporting.
• Screen, prioritize, and manage communications, emails, and information flow
to the CEO.
• Schedule meetings, prepare agendas, minutes of meetings (MoM), and follow-up
reports.
• Ensure accuracy, confidentiality, and timely circulation of critical
documents and reports.
• Coordinate with external stakeholders such as auditors, consultants,
vendors, and
partners as required.
• Support decision-making by providing data-driven insights and structured
information.
• Monitor deadlines, commitments, and deliverables across departments and
report
exceptions.
Qualifications & Skills:
• Education: Graduate/Postgraduate in Finance, Commerce, Business
Administration, or a
related field.
• Experience: 3–6 years of experience as an Executive Assistant, MIS
Executive, or similar
role supporting senior leadership.
Core Skills:
• Strong financial understanding and analytical capability.
• Excellent coordination, follow-up, and stakeholder management skills.
• High proficiency in MS Excel, PowerPoint, and reporting tools.
• Ability to multitask, prioritize, and work under pressure.
• High level of confidentiality, integrity, and professionalism.
