The Associate Onboarding Specialist will be responsible for ensuring a seamless onboarding experience for new employees. This includes managing Drug Testing (DT), Background Verification (BGV), badging, credential sharing, and coordinating with HR teams for employee orientation. KEY RESPONSIBILITIES BGV, Drug Testing & Badging • Gather and process onboarding documentation such as contracts and non disclosure agreements. • Share onboarding details with employees including work schedules, dress code, and other relevant information. • Ensure timely follow-up on all verifications sent to BGV vendors. • Handle inbound and outbound calls related to Employment, Education, Reference, and Licensing verifications. • Maintain accurate records of all drug tests and verification results. • Manage end-to-end drug and alcohol testing processes in compliance with company policies and federal regulations. • Coordinate with drug testing laboratories and Medical Review Officers (MRO).
• Set up and manage clinics in collaboration with drug screening vendors. • Ensure Chain of Custody forms are updated and available at clinics. Compliance & Coordination • Enforce compliance procedures for drug and alcohol testing (pre-employment, random, post-accident, etc.). • Maintain strict confidentiality while handling sensitive employee information. • Assist in preparing and delivering compliance-related training and communications. • Collaborate with internal stakeholders to develop tools and improve onboarding processes. Stakeholder Management • Act as a liaison between employees, vendors, and internal teams. • Build strong relationships with stakeholders to ensure smooth onboarding operations. • Respond to employee and vendor queries in a timely and professional manner. • Ensure all external inquiries related to drug and alcohol testing are addressed within 24 business hours. SKILLS, KNOWLEDGE & EXPERIENCE • Strong analytical and problem-solving skills • High attention to detail with the ability to multitask • Good communication and coordination skills • Knowledge of Drug & Alcohol regulations • Understanding of compliance and regulatory standards • Ability to work independently with minimal supervision
