Operations Coordinator - Fulfillment

Reports To : Manager - Fulfillment Operations

Role Purpose

Act as the central coordination point between Sales, Warehouse and Fulfillment to ensure every gifting and bulk order is operationally ready for execution. The Operations Coordinator is responsible for translating confirmed customer orders into actionable operational plans by ensuring orders are correctly created in the OMS, materials are planned in advance, requisitions are raised on time, and all stakeholders have complete visibility before execution begins. This role is critical in ensuring that no customer order is delayed due to planning gaps or coordination failures.

Key Responsibilities

Receive confirmed gifting and bulk orders from the Sales team and verify order completeness before operational processing.
Ensure customer requirements, delivery timelines and personalization details are accurately captured in the OMS.
Coordinate with Sales to resolve missing or incorrect order information.
Validate orders in the OMS and ensure they flow correctly into the fulfillment queue.
Raise product requisitions to Production and packaging material indents based on confirmed orders.
Coordinate with warehouse to ensure stock availability and proactively escalate shortages.
Work closely with Sales, Fulfillment and Logistics to ensure operational readiness.
Maintain daily order trackers and pending order reports and ensure zero order delays due to coordination gaps.

Candidate Profile

2-5 years of experience in operations coordination, planning, order management or fulfillment.
Experience working with ERP and OMS platforms.
Strong coordination and communication.
Advanced Excel proficiency.
High attention to detail with the ability to manage multiple priorities.
Exposure to manufacturing, FMCG, hospitality or ecommerce operations preferred.
