Role Overview
We are looking for an experienced Vendor Risk Coordinator to support the
Vendor Risk Manager in coordinating and monitoring the end-to-end Vendor Risk
Management / Third-Party Risk Management (TPRM) framework for contracts
requiring enhanced risk oversight. The role will involve coordinating
activities across sourcing, vendor due diligence, risk assessment, Vendor Risk
Committee (VRC) validation, decision-making, and post-committee action
tracking. The successful candidate should have strong knowledge of
vendor/third-party risk processes, excellent stakeholder management skills,
strong attention to detail, and the ability to work effectively in a
governance-driven environment.
Key Responsibilities
-
Develop and maintain a strong understanding of the Vendor Risk Framework,
including vendor risk triggers, service due diligence requirements, full
risk assessments, and partner-specific requirements.
-
Understand and coordinate the governance model involving buyers, SMEs,
procurement/sourcing teams, risk teams, and decision-making committees.
-
Coordinate end-to-end vendor risk activities and ensure that required
information, assessments, approvals, and documentation are completed within
defined timelines.
-
Work across relevant tools and systems, including Sourcing Compass, Process
Unity (TPRM tool), sourcing pipeline, and Contract’in, to monitor workflow
and identify gaps, delays, or missing information.
-
Coordinate with stakeholders to obtain the right inputs at the right stage
and ensure smooth progression of vendor risk cases.
-
Support the preparation and coordination of the Vendor Risk Committee (VRC).
-
Identify contracts requiring VRC review and coordinate with buyers and SMEs
to ensure cases are committee-ready.
-
Prepare and maintain PowerPoint presentations/decks for VRC meetings,
ensuring information is accurate, complete, concise, and risk-focused.
-
Organize preparation meetings, coordinate meeting invitations, track agenda
changes, and ensure all required materials are updated before committee
discussions.
-
Prepare accurate and high-quality VRC meeting minutes, capturing key
discussions, risk considerations, decisions, action items, owners, and
timelines.
-
Ensure documentation meets the standards expected for senior stakeholder
review, audit requirements, and regulatory scrutiny.
-
Track all post-committee actions and monitor completion against agreed
deadlines.
-
Provide proactive status updates to the Vendor Risk Manager and escalate
overdue, blocked, or high-risk actions.
-
Identify potential process gaps and support continuous improvement of vendor
risk governance and coordination activities.
-
Apply analytical judgment when dealing with grey areas, exceptions, and
complex vendor risk scenarios, rather than following processes purely from a
procedural perspective.
-
Maintain strong documentation, follow-up, governance, and stakeholder
communication throughout the vendor risk lifecycle.
Required Skills & Competencies
-
Strong understanding of Vendor Risk Management / Third-Party Risk Management
(TPRM) processes.
-
Experience in vendor due diligence, risk assessment, governance, compliance,
procurement risk, or third-party risk.
-
Strong understanding of risk governance frameworks and committee-driven
processes.
-
Excellent stakeholder management and coordination skills.
-
Strong written and verbal communication skills.
-
Excellent PowerPoint and MS Office skills, particularly for preparing
management/committee presentations.
-
Strong minutes-of-meeting (MoM) documentation and reporting skills.
-
Excellent organizational skills with the ability to manage multiple cases,
stakeholders, and deadlines simultaneously.
-
Strong attention to detail and documentation accuracy.
-
Ability to identify risks, gaps, dependencies, and delays and proactively
follow up.
-
Good analytical and problem-solving skills with the ability to assess risk
