Role Overview
We are looking for a sharp, high-judgement Executive Assistant to the Founder
& CEO who will run the CEO’s operating rhythm end-to-end. This role is
about protecting time, prioritising what matters, and ensuring follow-through,
not just managing calendars.
You will act as the CEO’s filter, organiser, and execution partner: bringing
structure, clarity, and calm to a fast-paced environment.
Responsibilities
Calendar & Time Management
- Own the CEO’s calendar across internal and external stakeholders
- Enforce meeting hygiene (clear purpose, agenda, right attendees)
- Protect focus time and resolve conflicts proactively
Prioritisation & Decision Support
- Triage requests and recommend Yes / No / Not now / Delegate
- Maintain and align on CEO priorities and sequencing
Inbox & Communication
- Manage inbox triage, drafting, responses, and escalations
- Ensure timely communication with key stakeholders
Meetings & Follow-ups
- Prepare meeting briefs and agendas
- Track action items, owners, and deadlines to closure
Stakeholder & Office Management
- Handle pushbacks and declines with confidence and discretion
-
Redirect requests to appropriate owners when CEO involvement isn’t required
Travel & Logistics
-
Plan end-to-end travel and create clear itineraries and travel packs
Systems & Processes
- Maintain trackers, templates, and simple operating systems
- Continuously improve workflows through documentation and automation
What Success Looks Like
- CEO spends time on high-impact decisions, not coordination
- Meetings are focused and outcome-driven
- Follow-ups don’t slip
- The CEO’s week runs on systems, not memory
Non-Negotiables
- High discretion and ownership
- Strong judgement and follow-through
- Clear, concise communication
- Calm under pressure and proactive by default
Ideal Profile
- 7-8 years as an EA supporting a senior leader / founder
- Excellent prioritisation and communication skills
- Comfortable operating with autonomy and accountability
